Detailed Registration Instructions
Note: These instructions are easier to read on a computer desktop than on a mobile phone.
At its most basic, registration is simply: Select your items, Add them to your cart, and Pay. Registration will open on Saturday, March 28, 2026, at 8 am Pacific Time. When that happens, you will see a link to the registration page. Meanwhile, read on for more details.
1. Select Your Workshops
Review the catalog or website to determine the workshops that you want to take. Be sure that none of the classes overlap on the schedule. Yes, you will likely wish that at least one class was held on a different day. No, you may not skip one day of a multi-day class to take a different class. It’s not fair to the instructors or other potential students. Make your choices and revel in them. Not sure about an instructor or class subject? Join the First Timers Club and ask for insight. While you’re looking at workshops, identify some second choices in case your first choice fills before you register.
If you sign up for classes that overlap, the Registrar WILL contact you to determine how you want to resolve it. Your second-choice class may fill while resolving an overlap. If not resolved, your booking WILL be cancelled. Save yourself the heartache and just don’t do it.
2. Select Your Rooming (if Any)
Decide whether you want to stay on campus. You have the option of staying the whole conference or just the weekend, plus you may stay over Sunday night if you’d rather make a long trip home on Monday. Participants will be housed in the Arbor Park apartments on the north side of the Western Oregon University campus. Each apartment includes four private bedrooms, two shared bathrooms, and a shared kitchen, living room, and hall closet. The kitchen includes a full-sized refrigerator/freezer, stove/oven, and microwave oven, in case you wish to bring or store food and beverages or make your own meals. Note: no cooking and eating utensils are supplied; please bring your own food, condiments, and cooking accoutrements.
Basic bath linens and towels are included in the room rentals: a pillow, blankets, two flat XL twin size sheets, a towel, and a washcloth. You’ll probably want some additional amenities such as a small fan, a desk lamp, an extension cord, hangers, or earplugs. The apartment buildings have elevators and laundry facilities on each floor; none of the residential spaces are air-conditioned. (All classrooms are air-conditioned.) WOU housing is gender-inclusive, meaning men and women can share an apartment. There are no shared rooms available; every person staying on campus must register for a room. You will be given an opportunity to specify housemates or other accommodation needs or preferences when booking. We will try our best to meet all requests, though we can’t guarantee everything will be available.
3. Select Your Meal Plan (if Any)
We have a few menu options: all meals, weekend-only meals, or lunches only. You do not have to stay on campus to sign up for meals. Maybe you want to sleep elsewhere but leave the cooking to our caterers—fine. Similarly, you do not have to sign up for meals if you stay on campus. You can eat out every night or do all your meal prep in your apartment (but don’t forget the evening activities like this and this!). Don’t want to travel off-campus or back to your apartment or hotel for lunch every day? Sign up for lunch-only meals.
Note: the booking form has a place to describe dietary restrictions. The caterers can accommodate almost anything they know about ahead of time.
Unsure on where you want to stay or whether you want to cook for yourself? Don’t worry. You can register for workshops first and come back later to register for room and meals.
4. All Decided? Let’s Go Register!
Once you’ve decided which workshops you want to take, go to the link that we will place here. This will take you to our registration partner site (BookWhen), which will open on March 28, 2026, at 8 am Pacific Time.
While BookWhen does work on a mobile phone, most fields have to be manually expanded to find the details. The interface works better on a desktop.
You will see first a list of Housing & Meal options followed by the 45 Workshops (and one hosted Studio).
Housing & Meals are sorted by booking-length and then alphabetically; this is imposed by the booking software. All Housing & Meals are listed at the beginning of the registration list. Ignore the start date shown in the first column. Active days and dates are listed in both the item title and description.
All conference participants (in any capacity) must be at least 18 years of age and must register individually.
Workshops are sorted by Start day : Class length : Alphabetic instructor’s last name. There is no option to change this sort order, but you can see every offering by “finding” or scrolling down the registration page.
Workshop titles use the following format:
Length-of-class Day(s)-of-class Workshop: Instructor-Last-Name Workshop-Title

When you click on a choice in the left-hand column, specifics will appear to the right. At the bottom right is the “Select” button to add this item to your cart. The button will change to -1- and the cost will appear in your cart on the upper right.
Note: Selecting a workshop does not reserve your space in the workshop, so keep moving once you get started.
If a class is full, there will be a red circle with a line through it at the end of the listing. If you select that listing, it will tell you it is “Fully booked” and provide a button to be placed on the waiting list. Historically, wait-listers have often been able to transfer to their first choice workshop. The Registrar will contact you as space becomes available.
You can view or edit your selections at any time by clicking on the cart in the upper right or “View selections” button on the lower right. You can return to the list of options by clicking on SCHEDULE on upper left or “Select more” button on lower left.
Note: If you delete an item from your cart, it may still appear in the cart symbol on the main selections page until you choose something new.
Once you have completed your selections, click on the cart and click on the “Book now” button. You have 30 minutes to complete the booking.
Note: Once you click the “Book now” button, your space will be reserved. IMPORTANT: If you use the back arrow after clicking “Book now”, all of your selections will be deleted from your cart. 🙁
The check-out process begins by asking for your email address. Once entered, it will ask you a series of questions related to registration. At the end it will ask you to Pay Now and proceed with credit card payment.
You can book everything at once or you can come back repeatedly and book everything individually. If you create an account on BookWhen, it will save your name and address details and your booked choices for later management. It is not necessary to create an account, but then each booking will be handled independently.

Quick Steps
(For the TL;DR crowd.)
Click on the Start Registration Button.
Select Housing and Meals options (optional). Press “Select” for each of 1 or more options.
Select Workshop(s). Plan your workshop days/selections carefully; this booking system won’t tell you if have selected overlapping dates. Press “Select” for each one you choose.
Press “View Selections” or cart symbol when cart is complete.
Review Selections to be sure complete.
If cart looks correct, click “Book now” and complete the booking and payment process.
